For medical and allied health clinics · Brisbane and South East Queensland

Fewer gaps in the book. Less admin at the desk.

Reception spends the day on the phone: confirming, rebooking, chasing forms and chasing payments. I set up simple systems that take the repeat work off the front desk, built on the practice software you already use, at a fixed price.

What I fix

Where reception's day goes

Start with the one that costs you the most time. Add more as you grow.

The phone rings all day with the same questions

Answers to the common ones (hours, parking, fees, what to bring) go out by text or email, so reception can look after the patient in front of them.

No-shows and late cancellations leave gaps

Reminders go out on their own, patients confirm or move with one tap, and a wait list gets a text when a spot opens.

New patient forms filled in at the counter

Intake forms go out with the booking confirmation and come back before the first visit.

Referrals and documents sitting in the inbox

Incoming referrals and documents are sorted and flagged for the right person, so nothing waits to be noticed.

Patients who are due back but don't rebook

A friendly message goes out when a patient is due back and hasn't booked, so your team doesn't have to work through a list.

Unpaid accounts and awkward calls

Payment reminders go out on their own, so reception doesn't have to make the call.

Not knowing how the week went

A short Monday report for the practice owner: appointments, gaps, cancellations and money owed.

What's possible depends on the software you already use. We confirm it on the discovery day, before you commit to anything.

Example setup

What a setup could look like for a two-practitioner physio clinic

EXAMPLE ONLY, NOT A CLIENT
  1. A patient books online. The confirmation goes out with the intake form, and the form comes back before the first visit.
  2. Two days before, a reminder goes out. The patient confirms or moves the time with one tap.
  3. A cancellation comes in. Patients on the wait list get a text offering the spot, first to reply gets it.
  4. Three weeks after a patient's last visit, if they're due back and haven't booked, they get a short rebooking message.
  5. An account is unpaid after 7 days. A polite reminder goes out with a payment link.
  6. Every Monday the owner gets one short email: appointments, gaps, cancellations and money owed.

This shows what a setup can look like. Yours is built around how your business runs and the software you already use.

A day inside your business, on site or by video call, then a written report with every fix, in order.

The build

I set up the fixes you choose, test them with your team and hand them over.

WORKS
OR FREE

It works, or you don't pay for the build.

Before I build, we agree in writing what "working" means for your business. Every system is tested in a trial run and your team is trained. If it doesn't meet what we agreed and I can't fix it, you don't pay for the build. See how the guarantee works.

Questions

Straight answers

What about patient privacy?

Health information has extra protection under the Privacy Act. The systems handle admin like bookings, reminders and payments, and clinical notes stay in your practice software. Before anything is built, we agree in writing what information each step uses and where it's kept.

Will it work with our practice software?

I build on the tools you already pay for wherever I can. What's possible depends on your software, and we confirm it on the discovery day, before you commit to anything.

Will patients find it impersonal?

Messages are written in your clinic's voice and go out under your clinic's name. Anything clinical or out of the ordinary goes to a person, not an automatic reply.

Will it replace our reception staff?

No. It takes the repeat admin so reception has more time for patients at the desk and on the phone.

Do you work with GP, dental and allied health clinics?

Yes. The front desk admin is much the same across GP, dental, physio, psychology and other allied health clinics. What we set up depends on how your clinic runs.

What does it cost?

Fixed prices, agreed before any work starts. The first call is free, and the discovery day fee is credited in full to your build.

Fill the gaps. Free up the desk.

30 minutes, free, no obligation. You'll get the one fix I'd start with, even if you don't hire me.
