For environmental, land management and infrastructure organisations · South East Queensland

The work is in the field. The paperwork should keep up.

In environmental services, land management and NRM, and civil, water and infrastructure work, the jobs happen on site but the pressure lands in the office: crew schedules, field data, progress claims and reports to clients, funders and regulators. I've spent over 20 years working across these industries. Now I help organisations of about 10 to 150 staff, including not-for-profits, fix how the work flows and put in practical AI and automation, so the owner or GM isn't the only one who knows where everything is.

Your biggest time drain, and the fix I'd start with.

What I fix

Where the week goes

Start with the one that costs you the most time. Add more as you grow.

Crew scheduling on a whiteboard and the phone

Who's where, with what gear, on one schedule the team can see on their phones, with changes sent to the crew straight away.

Field data that comes back late or incomplete

Short forms on the phone for readings, photos, site notes and sign-offs, so the data lands in one place the same day.

Reports that take days to write

Client, funder and regulator reports drafted from the data you already collect, ready for a person to check and send.

Quotes, variations and progress claims

Quotes from your templates, extra work logged and approved in writing, and progress claims drafted at each stage.

Safety and compliance paperwork

Pre-starts, inductions, licences and permits tracked, with reminders before anything expires.

Grants and funded projects

Milestones, spend and outcomes tracked against each grant, so the acquittal report isn't a scramble.

Everything runs through the owner or GM

A weekly operating rhythm, a clear owner for each area and one report the team trusts, so decisions don't wait on one person.

Systems that don't talk to each other

Your job, accounting and document tools connected, so details are entered once.

What's possible depends on the software you already use. We confirm it on the discovery day, before you commit to anything.

Example setup

What a setup could look like for a land management contractor

EXAMPLE ONLY, NOT A CLIENT
  1. The crew leader opens the day's jobs on their phone: site, task, gear and safety notes.
  2. On site, the crew records readings, photos and hours on a short form.
  3. The data lands in one place. The office sees what's done without a phone call.
  4. At the end of the week, a draft progress report for the client or funder is ready from that data. A person checks it and sends it.
  5. Hours and materials flow into the invoice or progress claim, drafted for checking.
  6. Every Monday the GM gets one short report: jobs done, jobs behind, money in, money owed.

This shows what a setup can look like. Yours is built around how your business runs and the software you already use.

Questions

Straight answers

Have you worked in this industry?

Yes. I've spent over 20 years in operations and commercial leadership, as a general manager, executive and CEO, across environmental services, water, infrastructure and industrial markets, including a not-for-profit. I don't share details of past employers, their clients or their results.

Do you work with not-for-profits?

Yes. Land management, bush regeneration and other not-for-profit organisations are part of who I work with. Funded projects and grant reporting are often a big part of the admin load, so they're a common place to start.

Does my team need to become AI experts?

No. I set it up around the tools you already use and keep it working. Your team learns the new way of working, not the technology behind it. People still check and approve anything that goes to a client, funder or regulator.

Is my organisation the right size?

It usually fits organisations of about 10 to 150 staff. If you're smaller, the same kind of fixes work at a smaller scale, and I'll tell you on the call what fits.

Can you come on site?

Yes. I'm based in Brisbane and work on site across South East Queensland, or by video call.

What does it cost?

The first call is free. The discovery day is from $1,950, credited to your build if you go ahead within 60 days. Builds are a fixed price, and fractional COO work is quoted after the discovery day, with a minimum of 3 months.

Less chasing. More work done in the field.

Free 30-minute call: your biggest time drain, and the fix I'd start with. No obligation.
