For real estate agencies · Brisbane and South East Queensland

Reply first. Spend less time on paperwork.

Agents lose evenings to enquiry replies, open home follow-up and vendor reports. Property managers lose days to maintenance requests, notices and arrears. I set up simple systems that take the repeat admin off both desks, built on the software your agency already uses, at a fixed price.

What I fix

Where your team's week goes

Start with the one that costs you the most time. Add more as you grow.

Portal enquiries that wait until tonight

Every enquiry gets a reply within minutes, with the property details, the next open home and a link to book an inspection.

Open home buyers who never hear back

Everyone who registered gets a thank-you and a short feedback request the same day, and hot buyers are flagged for the agent to call.

Vendor reports that eat a Friday afternoon

Enquiries, inspections and buyer feedback are pulled into a weekly vendor report, ready for the agent to check and send.

Maintenance requests by phone, text and email

Tenants use one simple form. Each request is logged, the tenant gets a reply, and the property manager sees every open job in one list.

Routine inspections and notices

Inspection dates are planned ahead, notices are drafted from your agency's templates, and tenants get a reminder before the visit.

Lease renewals and late rent

The property manager gets a heads-up well before each lease ends, and rent reminders go out in your agency's words before anyone has to pick up the phone.

Not knowing how the week went

A short Monday report for the principal: new enquiries, appraisals booked, listings, arrears and open maintenance jobs.

What's possible depends on the software you already use. We confirm it on the discovery day, before you commit to anything.

Example setup

What a setup could look like for a small agency with one sales agent and one property manager

EXAMPLE ONLY, NOT A CLIENT
  1. A buyer enquires on a listing at 9pm. Within minutes they get the property details, Saturday's open home time and a link to book a private inspection.
  2. After the open home, everyone who registered gets a thank-you and a two-question feedback form. Buyers who say they're keen are flagged for the agent to call on Monday.
  3. On Friday, the agent gets a draft vendor report with the week's enquiries, inspections and feedback. They check it, add a note and send it.
  4. A tenant reports a leaking tap through the maintenance form. The request is logged, the tenant gets a reply, and the property manager decides who to send.
  5. Sixty days before a lease ends, the property manager gets a reminder to talk to the owner about renewal and rent.
  6. Every Monday the principal gets one short email: enquiries, appraisals, listings, arrears and open maintenance jobs.

This shows what a setup can look like. Yours is built around how your business runs and the software you already use.

WORKS
OR FREE

It works, or you don't pay for the build.

Before I build, we agree in writing what "working" means for your business. Every system is tested in a trial run and your team is trained. If it doesn't meet what we agreed and I can't fix it, you don't pay for the build. See how the guarantee works.

Questions

Straight answers

Do you touch our trust account?

No. Trust accounting stays in your existing software and with your team. The systems handle messages, reminders and reports around it.

Will it work with our CRM and property management software?

I build on the tools you already pay for wherever I can. What's possible depends on your software, and we confirm it on the discovery day, before you commit to anything.

Will notices still follow the rules?

Notices are drafted from templates your agency already uses and approves. Your principal or property manager signs off on every template before anything goes live, and your compliance process doesn't change.

Will anything go out without us checking?

Only what you choose. Vendor reports and anything about money, disputes or a complaint can wait for a person to check before it's sent.

What about tenant and buyer privacy?

Before anything is built, we agree in writing what information each step uses and where it's kept. Personal details stay in your own systems.

What does it cost?

Fixed prices, agreed before any work starts. The first call is free, and the discovery day fee is credited in full to your build.
